Position Overview

As the Sr. Executive Administrative Assistant - Marketing, you will provide executive administrative support to VP and administrative support for other Marketing department associates. • Provide executive administrative support to VP • Provide administrative support to Marketing Department associates • Conduct monthly reconciliation of Marketing AMEX used for all department purchases • Manage Ringi (project approval process) generation as needed by Marketing associates to facilitate creation of and routing for comments/approvals. Also includes check requests, invoices, and other financial documentation, as directed • Organize periodic webinars and conference calls • Complete needed forms for customer consulting agreements or grant process • Complete and track payment initiation for sales contests and competitive information reimbursements • Facilitate and manage the Marketing Travel Calendar • Reformat PowerPoint presentations into new templates and adjust slides as appropriate • Help maintain marketing team compliance with vendor credentialing services (e.g. Reptrax, Vendormate) • Assist with Visa application process and general travel arrangements as needed • Document control creation & follow through with signatures, submission & release • Assist NA team with consulting agreement processes • Additional duties and responsibilities as assigned • Marketing Communication Support: • Assist with updates of iPad, CCN and MV Website • Assist with organization/coordination including on-site and pre/post meeting support of worldwide Marketing strategy meetings, customer program events/meetings, etc. • Assist with procurement, organization and distribution of materials for trade shows, training events and sales meetings • Coordinate and manage the Marketing Materials approval process • Manage and update the Outlook Customer Contact Database and Physician Profile App • Update and maintain Key Articles List and purchase on-line journal articles, as needed • Manage journal subscriptions, including on-line • Order and maintain a standardized inventory of marketing stationery and supplies to support Marketing Team and their projects"

  • • Excellent interpersonal, written and verbal communication skills • Talent to accommodate the needs of multiple associates with various work styles • Excellent attention to detail and ability to work autonomously • Strong MS Office proficiency with emphasis on PowerPoint and Outlook software. Prefer knowledge of Adobe and related graphics programs • College degree or equivalent • Five to seven years experience in medical marketing/sales administration or a related field; or equivalent experience • Proven track record of providing successful administrative support and interpersonal competence
